Service Bid (“we,” “us,” or “our”) operates an AI-powered estimating and proposal platform for home service professionals. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our platform and services.

2. Information We Collect

Information You Provide:

  • Account information: Email address, password, and authentication method (email/password or Google OAuth).
  • Business profile: Business name, industry type, location, service radius, specialties, labor rates, markup percentages, pricing strategy, and job size preferences.
  • Client data: Names, email addresses, phone numbers, and addresses of your clients that you enter into the platform.
  • Estimates and proposals: Project descriptions, line items, material and labor costs, markups, totals, and any custom terms or notes.
  • Payment information: Billing details processed through Stripe. We do not store your full credit card number on our servers.

Information Collected Automatically:

  • Usage data: Features accessed, actions taken, estimates created, proposals sent, and general interaction patterns.
  • Device information: Browser type, operating system, device type, and screen resolution.
  • Log data: IP address, access times, pages viewed, and referring URLs.
  • Cookies: Session cookies for authentication and preferences. See Section 8 for details.

Information from Third Parties:

  • QuickBooks Online: When you connect QuickBooks, we receive customer records, service items, labor rates, tax settings, and related business data that you authorize us to access.
  • Google OAuth: If you sign in with Google, we receive your name and email address from Google.
  • Stripe: Subscription status, billing period, and payment confirmation (not full card details).

3. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the Service, including generating AI-powered estimates and proposals.
  • Process your subscription payments and manage your account.
  • Sync data with third-party services you connect (e.g., QuickBooks).
  • Send transactional emails including proposals to your clients, team invitations, and password reset links.
  • Improve our AI estimating accuracy using aggregated, anonymized usage patterns.
  • Analyze platform usage to improve features and user experience.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations.

4. How We Share Your Information

We do not sell your personal information. We share information only in these circumstances:

  • Service providers: We use third-party services to operate the platform, including:
    • Supabase — database hosting and authentication
    • Stripe — payment processing
    • Resend — transactional email delivery
    • OpenAI and Anthropic — AI estimate generation (project descriptions and business context are sent to generate estimates; no personally identifiable client information is sent unless included in project descriptions you provide)
    • Vercel — application hosting and analytics
    • Intuit/QuickBooks — accounting integration (only when you connect your account)
  • Your clients: When you send a proposal, the recipient can view the proposal content, business name, and contact information you include.
  • Team members: Other members of your organization can access shared estimates, proposals, and client data within the platform.
  • Legal compliance: We may disclose information if required by law, court order, or governmental request.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

5. Data Security

We implement security measures including:

  • Encryption of data in transit (TLS/SSL).
  • Row Level Security (RLS) in our database ensuring organizational data isolation.
  • Secure authentication with session management.
  • OAuth 2.0 for third-party integrations.
  • Role-based access control within organizations.

No system is completely secure. We cannot guarantee the absolute security of your data.

6. Data Retention

  • We retain your account and business data for as long as your account is active.
  • After account deletion, we may retain certain data for up to 30 days for backup and recovery purposes, and longer if required by law.
  • Anonymized, aggregated data may be retained indefinitely for analytics and service improvement.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your account and associated data.
  • Export your data in a portable format.
  • Restrict or object to certain processing of your data.
  • Withdraw consent where processing is based on consent.

Your data is processed and stored in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through an in-app notification. The “Last updated” date at the top reflects the most recent revision. Continued use after changes constitutes acceptance.
